This policy explains what information PresenceLabs LLC (“Presence Labs”, “we”, “us”) collects through our apps, this website, and our support communications, and how we use it. The first section applies to everything we make. Each app has its own section with the specific details.

What we don’t do

We do not sell your personal information. We do not use it to track you across other companies’ apps and websites, for advertising, or share it with data brokers.

Our website

This website is hosted on Cloudflare. Our hosting provider may log standard request information such as IP address and browser type to deliver pages and protect against abuse. If you email us, we receive your email address and the contents of your message, which we use to respond.

Retention and deletion

We keep information for as long as your account is active and as needed for the purposes described for each app. You can request deletion of your account and data at any time by emailing staff@presencelabs.dev; we will act on verified requests within 30 days.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, or to object to certain processing. Contact us to exercise these rights.

Children

Our apps are not directed to children under 13, and we do not knowingly collect their personal information.

Changes

If we change this policy we will update the date above and, for material changes, notify you in the app or by email. When we release a new app, we add its section here before it launches.

BidPilot

Information BidPilot collects

• Account information: your email address, name, password and role, used to sign you in. A sign-in session is stored in the iOS keychain on your device.
• Customer and job information you enter: your customers’ names, email addresses, phone numbers and billing addresses, and job-site addresses.
• Your work content: estimates, notes, chat messages and proposals.
• Photos and files you upload. The app asks for camera or photo library access only when you choose to add a photo, and the photo goes only where you send it.
• Company financial information you enter: such as wages, expenses and pricing.
• Subscription status and AI usage, so we can provide and limit the service. Payment card details are handled by Stripe; we never receive or store them.
• Error reports: when the app or service fails we record the type of error, the code location, a generic screen name and the app build. We do not record error messages, URLs or who the error happened to.
• Proposal activity: when a customer of yours opens or accepts a proposal you send, we record that event along with their IP address and browser details.

BidPilot does not collect your device location or contacts, does not use push notifications at this time, and contains no analytics, advertising or tracking software. It does not collect advertising identifiers. If this changes, we will update this policy before the change takes effect.

How BidPilot uses information

• To provide BidPilot and its features, including generating estimates and proposals.
• To respond to support requests.
• To keep the service secure, diagnose errors and prevent abuse.

Service providers used by BidPilot

These providers process data only to provide their service to us:

• Supabase stores account data, customer and job data, estimates, proposals, chat history, uploaded photos and files, and company financial data.
• OpenAI receives your chat messages and any files you attach to a chat so that BidPilot can produce estimates.
• TaxJar receives only the five-digit ZIP code of a job to look up sales tax, not the full address.
• Stripe processes subscription payments.

Your customers’ information

BidPilot lets you store personal details about your own customers. You are responsible for having the right to store and use that information. We process it on your behalf to provide the service. If you are a customer of a BidPilot user and want your information corrected or deleted, contact that business or email us and we will help.
